Planning Coordinator

About the Role

STS are seeking a highly organised and motivated individual to join our Planning Department as a Planning Coordinator.  The successful candidate will play a key supporting role within a growing and fast-paced technical services organisation, assisting the Planning Manager in coordinating resources, projects, and administrative processes across multiple departments.

 

This position will primarily be based at our Shannon office, with occasional travel to support specific project requirements. The Planning Coordinator will contribute to the effective planning, scheduling, and tracking of projects and personnel, ensuring that STS continues to deliver high- quality, timely, and cost-effective services to its customers. Skills required for the role include excellent written and verbal communication, proven organisation competency and the ability to effectively plan and multitask.

Key Responsabilities

● Assist the Planning Manager in the day-to-day coordination and scheduling of projects, resources, and personnel across multiple business areas including Technical Services Engineers, Technical Services Managers, and other supporting roles.
● Maintain and update centralised planning systems and project trackers to reflect current project statuses, priorities, and resource allocations.
● Support the preparation of project schedules, progress reports, and performance dashboards for internal management and customer review.
● Track and monitor manpower utilisation, project timelines, and milestone achievements, flagging any risks or delays to the Planning Manager.
● Assist in the preparation and review of project documentation, including work scopes, project briefs, and planning checklists.
● Manage administrative duties for the Planning Department such as meeting coordination, minute taking, document control, and correspondence management.
● Liaise with Technical Services Managers, Engineers, and external contractors to gather and update project data, ensuring alignment between operational teams.
● Support customer communications by preparing reports, correspondence, and planning documentation as required.
● Ensure data integrity and consistency across all planning tools, databases, and internal records.
● Support continuous improvement of planning processes, tools, and reporting mechanisms.
● Provide general administrative support to the Planning Manager and contribute to departmental efficiency initiatives.

Education/Experience

● Microsoft (or equivalent) skills necessary (MS Project, Word, Excel, Power point), including the ability to design and utilise effective spreadsheets
● Experience with aviation industry-leading document management & maintenance ERP systems a plus
● Eligible to live and work in the EU
